Messaging
Hotel SMS marketing in Sri Lanka
Most Sri Lankan hotel guests carry a mobile phone and check it constantly. A short, well-timed text message cuts through the noise of email inboxes and social feeds, making it one of the fastest ways to confirm a booking, prompt a review, or move a last-minute room.
What hotel SMS marketing works for
- Booking confirmations, payment receipts and cancellation notices
- Pre-arrival reminders with check-in time, directions and what to bring
- Last-minute availability and flash offers to past guests
- Post-stay review requests sent the day after checkout
- Spa, dining and wedding appointment reminders
Why SMS still matters in a WhatsApp country
WhatsApp dominates two-way conversation in Sri Lanka, and we use it for rich, conversational guest communication. But SMS still has a specific job: it works on any phone without an app install, it delivers reliably even on weak mobile data, and it is read almost immediately. That makes it the right channel for urgent, short, one-way alerts that the guest cannot afford to miss.
A booking confirmation, a payment received message, or a check-in reminder needs to land regardless of whether the guest has WhatsApp open or is roaming without data. SMS fills that gap. It is also a more formal, expected channel for transactional messages, whereas WhatsApp is better for ongoing conversation, media and personality.
The messages that get results
- Keep it under 160 characters so it arrives as a single text
- Use a clear sender ID or hotel name so the guest knows who it is
- One message, one action: confirm, reply, call or review
- Personalise with the guest's name, booking dates or room type
- Send at a sensible local time: avoid early morning or late night
Consent, timing and compliance
You cannot message people just because you have their number. Sri Lankan hotels should collect clear consent at booking or check-in, explain what kinds of messages the guest will receive, and provide a simple way to opt out. We set this up properly from the start because a list of people who do not want to hear from you is worse than useless — it damages your sender reputation and wastes money.
Timing matters as much as content. A flash offer sent at 10 p.m. feels intrusive even if it is well targeted. A pre-arrival message sent the morning before check-in feels helpful. We map message types to the guest journey so SMS arrives when it is expected, not when it is merely convenient for the hotel.
Connecting SMS to your booking flow
Manual SMS lists are where mistakes happen: the wrong guest, the wrong date, a message sent after checkout. The real value comes from connecting messaging to your property management system or booking engine so messages trigger automatically from reservation status.
A confirmed booking triggers a confirmation text. A balance-due reservation triggers a payment reminder. A check-out triggers a review request two days later. An unexpected vacancy triggers a short offer to a segmented past-guest list. When the system is tied to real booking data, SMS becomes a reliable operational layer rather than an occasional marketing blast.
Measuring SMS marketing for hotels
- Delivery rate and bounce rate as a list-quality signal
- Review submissions triggered by post-stay texts
- Direct replies or bookings from flash-offer messages
- Opt-out rate: a rising number means the messaging is too frequent or poorly targeted
- Uplift in direct bookings from guests who received pre-arrival and post-stay sequences
Common hotel SMS mistakes
- Buying or scraping phone number lists instead of building opted-in lists
- Long promotional essays that get truncated or ignored
- Sending marketing texts without an opt-out or at antisocial hours
- No integration with the PMS, so messages are late, duplicated or sent to the wrong guest
- Treating SMS as a broadcast channel instead of a service and retention tool
When SMS is the wrong channel
SMS is not a brand-awareness channel. It is poor for visual storytelling, useless for cold prospecting, and the wrong place for long explanations. If the goal is to inspire a traveller who has never heard of you, Instagram, TikTok or Meta ads will do the job far better. If the goal is to confirm, remind, recover or retain an existing guest, SMS is often the fastest route.
Common questions
Does SMS marketing work for hotels in Sri Lanka?
It works well for operational and retention messages sent to guests who have opted in: booking confirmations, pre-arrival reminders, review requests and last-minute offers. It is not effective for cold prospecting to people who have never stayed with you or given consent.
Is SMS better than WhatsApp for hotels?
They do different jobs. SMS is better for short, urgent, one-way alerts that must reach any phone instantly. WhatsApp is better for two-way conversation, rich media and building a warmer guest relationship. Most properties should use both, not choose between them.
Can we text guests who booked through Booking.com or Agoda?
Usually not for marketing, because the OTA does not pass the guest's phone number for that purpose and the platform terms restrict it. The route is to collect consent on property at check-in, which is how OTA guests become direct guests for future stays.
What should our first SMS campaign be?
Start with a booking confirmation or a pre-arrival reminder. These are useful to the guest, expected, and low risk. Once that is working, add a post-stay review request and then carefully targeted low-season or last-minute offers.
How often should a hotel send SMS?
Less often than you think. One useful message beats five forgettable ones. A good rule is to send only when the message saves the guest time, money or worry, or when there is a real, time-limited offer that matches the guest's history.
Is SMS marketing expensive?
Per-message costs are low, but they vary by volume and gateway provider. The real cost is in poor execution: messages sent to the wrong people, at the wrong time, without integration. Done well, SMS is usually far cheaper than the commission on a single OTA booking it helps displace.
