The cheapest occupancy you will ever buy

Every guest who has already stayed once has done the hardest thing a guest ever does: chosen an unfamiliar property in a country far from home and found it good. Persuading that person to come back, or to recommend you, costs a fraction of persuading a stranger — and it costs no commission at all.

Yet the past-guest list is the most neglected asset at most Sri Lankan hotels. The addresses sit in the PMS and the booking engine and are never used, while the same property spends steadily on advertising to reach people who have never heard of it. Email is the only channel a hotel owns outright: no auction, no algorithm change, no platform taking a percentage.

It is also the channel that works hardest in the periods when you need it most. Low season, monsoon shoulder weeks, an unexpected gap after a cancellation — these are moments when a well-segmented email to the right past guests can move rooms within days, at a cost close to zero.

Segmentation is what separates email that works from email that annoys

A single message sent to everyone is the reason most hotel email underperforms. A German couple who stayed for a week in February, a Colombo family who came for a long weekend, and a solo surfer who stayed three nights in Arugam Bay have almost nothing in common as prospects, and offering them the same thing guarantees that most of them ignore it.

The segments that matter for a Sri Lankan property are usually season stayed, nationality or source market, room type and party composition, spend level, and booking channel. Someone who came in the same week two years running is a different prospect from a one-off booker, and an OTA guest you captured on property is a specific conversion opportunity worth its own message.

Timing is the second half. Sri Lanka's source markets plan on different cycles — European long-haul travel is often booked three to six months ahead, domestic leisure days or weeks ahead. A low-season offer sent to a European past guest a fortnight before the dates is too late to be useful, and the same message to a Colombo family is about right.

List quality, consent and deliverability

A small, genuinely opted-in list outperforms a large scraped one in every measure that matters, and it keeps you out of spam folders. We collect consent properly at booking and at check-in, remove hard bounces, and stop mailing people who have not opened anything in a long time — because continuing to mail them damages the deliverability of everything you send to the people who do read.

Technical setup matters more than most hoteliers expect. Sender authentication configured on your domain, a consistent sending address, and a sensible sending volume are what stop your offers landing in a promotions tab or a spam folder. It is a one-off piece of work with a permanent effect on results.

Common questions

Does email marketing still work for hotels?

For past guests, it is usually the highest-return channel a hotel has. It carries no commission and no media cost, it reaches people who already know the property, and it is the fastest way to move rooms in a soft week — provided the list is properly segmented and genuinely opted in.

How often should a hotel email past guests?

For most properties, monthly or slightly less, with additional targeted sends to specific segments when there is a real reason. Frequency matters less than relevance: an offer sent to guests it actually suits can be sent more often than a general newsletter can.

What should a pre-arrival email include?

Practical information the guest needs — directions, transfer options, check-in details — plus the upsells that genuinely improve the stay: airport pickup, a dinner reservation, a tour, a room upgrade. It is the highest-converting message in the whole sequence because the guest is already committed.

Can we email guests who booked through Booking.com or Agoda?

Generally not from the OTA booking itself, since you do not receive usable contact details and the platform terms restrict marketing use. The route is to collect consent on property at check-in, which is exactly how OTA guests become direct guests next time.

Why do our hotel emails land in spam?

Most often because sender authentication is not configured on your domain, because the list includes old or purchased addresses, or because you keep mailing people who never open. Fixing authentication and cleaning the list resolves the majority of cases.
